Knowledge base

What the Website Agent knows and may say. Read your website, add documents, notes and links, set the key facts and the tone, and fill the gaps visitors reveal.

The shared memory

Everything your agents know lives in Agents › Shared memory. It has four panels:

PanelWhat it holds
InstructionsRules every agent follows, on the site, by email and before every meeting.
OffersThe key facts about what you sell: offers, prices, lead times, area served…
SourcesYour website pages, documents, notes, links, FAQs and resources.
ToneHow your agents introduce themselves and speak to visitors.

The Website Agent answers only from this material. When something is not in it, the agent says it does not know rather than guess, and the question is listed under Unanswered questions so you can add the answer.

Knowledge bases

Offers, Sources and Tone belong to a knowledge base. Most workspaces need just one. If you sell several distinct things (for example a web agency and a recruitment service), create one base per offer: each has its own website, sources and tone, and they never mix.

  • To create a base, open Sources, go to the Knowledge bases card at the bottom, type a name and click Add a base.
  • When you have several bases, a menu in the header of each panel picks the one you are editing.
  • To delete a base, use Delete the “name” base in the same card. Its sources are deleted with it.

A conversational form reads exactly one base. To choose it, open Settings › Forms, select Per form, pick the form, then open the AI section: What this assistant may know. Without a choice, the assistant reads the first base of the workspace.

Instructions

Write one instruction per line, for example "Always address visitors formally" or "Never quote a price for custom projects". Instructions apply to all four agents and are saved automatically as you type (up to 1,000 characters). Reset clears them.

For an instruction that only concerns one conversational form, use its Standing instruction instead, in Settings › Forms › Per form › Conversation.

Sources

Your website

Enter your Website address and click Reread the website. Nudge reads your pages (up to 150 per read) and writes a summary of the whole site that the agent can use right away. Reading takes from a few seconds to several minutes, and carries on if you leave the page.

  • The site is reread every week automatically. You can reread it at any time with the same button.
  • After a read, Nudge says what changed: new pages, updated pages, unchanged pages, and pages gone from the site (removed from the base).
  • New pages arrive switched off. A page read from a website is material to check, not an instruction to follow: switch on the ones the agent may use. A page you had switched on stays on when it is updated.
  • Blogs and news archives are left out: they are the bulkiest and least useful part of a business site. The card names the collections it set aside.
  • Website pages lists every page discovered, with its status: Active, Inactive, Read, Discovered, Excluded or Unreadable.

The site summary is always active. Page switches only control access to each page's detailed content; the summary stays available and editable.

Pages and documents

This list holds everything in the base: website pages, documents, notes and imported links.

  • Switch each entry on or off. A switched-off entry is never read by your agents.
  • Categories (Offers and pricing, Home, Company, Tools, Legal, Other pages, Files, Notes, plus your site's own sections) and the search narrow the list. The bulk button (Switch on 12, Switch off 12, Switch all off) acts on what is shown.
  • The pencil opens an entry: you can edit its title and the exact text the agent reads, and switch it on or off.
  • The bin deletes an entry.
  • The question bubble on a page writes opening questions for that page. See Suggested questions.

Badges tell you how each entry is used:

BadgeMeaning
OffSwitched off: never read.
Always activeThe site summary.
flagged, hidden instruction, no informationSet aside by the ingestion check. Open the entry to read it; switch it on by hand if it is fine.
conflicts with another entryThis entry seems to state a fact that contradicts another one. Worth a look.
ficheThe agent carries a short sheet of this page (what it covers, its figures, what it answers); the full text is fetched when a question concerns it.
over budgetNo sheet yet and no room for the full text: the agent does not see this page for now. Sheets are written by the read and finished overnight.
EN · on demandA copy of a page already included, in another language. It is used when a visitor writes in that language.

The gauge under Your website shows how much of what one conversation can carry your switched-on sources fill. Switch off what does not help your visitors to make room for what does.

Click Add in the Sources header:

  • A note: a title and a text. Use notes for what your site does not say: pricing rules, answers to objections, anything the agent must get right.
  • A document: PDF, Word (.docx), TXT, Markdown, CSV or JSON, up to 10 MB. Nudge extracts the text, which is exactly what the agent reads: the file itself is never sent to the AI. A long document is filed in several parts; if it is very long, the end may be left out, and Nudge tells you how many characters.
  • A link: any public page, or a Google Doc shared with "Anyone with the link". Notion pages cannot be read: export them and upload the file instead. To refresh a link's text, import it again.

Priority FAQs and resources

This card holds the answers you want given word for word, and the resources the agent may recommend.

  • Add FAQ: the Question or title, the Approved answer, optional Variants (other ways to ask, one per line), the Language and the Order (0 = first). Approved answers feed the knowledge base.
  • Add white paper / PDF: the title, the Public document link, the Topic and audience, and Ask for email before sharing if you want the visitor's email first. The agent recommends a resource in the chat when it is relevant.

Untick Published to keep an item without using it.

Unanswered questions

This card lists what visitors asked in the last 30 days that your agents did not know, in the visitors' own words, with the date and the form. Click Answer to write the answer: it becomes a note, with the question as its title, and the agent can use it from then on.

Check it every week

Unanswered questions are the fastest way to improve the agent: each answer you add closes a gap for every future visitor.

Offers

Offers holds the key facts your agents quote as is, one line per topic: Offers, Prices, Lead times, Area served, Opening hours, Contact, Guarantees and terms, For whom.

  • Your offer pages lists the pages of your site about what you sell. Switched on, your agents read them directly.
  • Suggest from your pages proposes a value for each line from your switched-on pages. Click Use to keep a proposal or Dismiss to ignore it.
  • A line that was not found on your site reads "Not found on the website — to fill in".

Leave a line empty rather than guess: your agents say nothing that a key fact or a source does not say.

Tone

Tone sets how your agents speak:

  • Form of address: Formal or Informal, for languages that distinguish them. Applies to the website, emails and messages before each meeting.
  • Style: pick presets (Warm, Professional, Direct, Reassuring, Educational, Enthusiastic, Concise, No jargon) and add your own words. The panel shows the line your agents read.
  • Role: who your agents represent, for example "You represent a web agency specialising in e-commerce…". Whatever you write, they never invent a slot and never confirm a meeting on their own.
  • Opening message: the assistant's first sentence when a visitor opens the conversation.
  • Suggested questions: up to four questions, in the visitor's words, offered as buttons. See Suggested questions for how they combine with the others.

After a read of your site, The last scan suggests a voice: Apply it or dismiss it.

Who can edit

Members who can manage agents can edit the shared memory. Others can read it but not change it. See Account for roles and permissions.
