Calendars
Connect Google Calendar or Outlook so Nudge offers only your real free slots and puts every booked meeting in your calendar.
What a connected calendar does
When a closer has connected a calendar, Nudge uses it in two ways:
- It reads busy times. Busy periods on your availability calendar are removed from the slots the website agent and your booking pages offer. Visitors only see times when you are actually free, within your working hours and the form's scheduling rules.
- It writes booked meetings. When a meeting is booked with you, Nudge creates the event in your calendar, with the video link and a short brief of the conversation. When the meeting is cancelled, the event is removed. When it is rescheduled, the old event is removed and the new one is created.
Two providers are supported:
| Provider | Catalogue cards | Also enables |
|---|---|---|
| Google Calendar, Gmail | Google Meet links | |
| Microsoft | Outlook | Microsoft Teams meetings |
Each team member connects their own calendar. A meeting is always written in the calendar of the person who hosts it.
Already connected?
If you signed in to Nudge with Google or Microsoft, your calendar was connected at the same time: sign-in asks for the same calendar access. Check the Connected badge on the Google Calendar or Outlook page.
Connect your calendar
Open the calendar card
Go to Integrations and click Connect on Google Calendar or Outlook. You can also open the tool page and use Connect on the Google Meet & Calendar or Microsoft Teams & Outlook card.
Check the access
The dialog lists what Nudge will do in your calendar and the access requested. For Google:
- Create and edit the events Nudge puts in your calendar
- Read your busy times, so only free slots are offered
- Read the list of your calendars, so you can pick one
For Microsoft:
- Read your calendar and write meetings into it
- Create the Teams meetings for your bookings
Approve with the right account
Click Continue to …, choose your account and approve. Use the account whose email address is the same as your Nudge account. Otherwise the connection is refused with a message asking you to pick the account with the same address.
Choose your calendars
Back in Nudge, the card shows Connected. Scroll to Calendar Settings to choose which calendars to use (see below).
Calendar Settings
The Calendar Settings card is on the page of each calendar or video tool (for example Integrations › Google Calendar). It applies to you, not to the whole team.
| Setting | What it does |
|---|---|
| Calendar Provider | Google Calendar or Microsoft Outlook: the provider used for your availability and your events. |
| Check availability on | The calendar your busy times are read from. Busy times on this calendar are removed from the slots you offer. |
| Create events in | The calendar where booked meetings are created. You need write access to it: the event is created with your account. |
Both fields default to your primary calendar. Open the list to pick another calendar you have access to. If the calendar you want is not in the list, choose Enter a calendar ID… and paste its ID (for Google, you find it in the calendar's settings under Integrate calendar). Choose from my calendars brings the list back.
Click Save Calendar Preferences to apply.
A form can also set its own booking calendar in its scheduling settings. When it does, meetings booked through that form are created in that calendar instead of the one chosen in Create events in.
Using two different calendars
If Create events in and Check availability on are different calendars, Nudge shows a warning. A meeting you add by hand to the first calendar will not block your slots, because availability is only read from the second one. Meetings booked through Nudge are still protected: you can never be double-booked by two Nudge bookings.
Why a calendar is missing from the list
The list only shows calendars you are subscribed to. A shared calendar that you have not added to your own calendar view does not appear: add it in Google Calendar or Outlook first, or enter its ID by hand.
If the list stays empty even though you are connected, disconnect and reconnect your account so the provider asks for the calendar-list access again.
Disconnect a calendar
Open the tool page (for example Integrations › Google Calendar) and click Disconnect, either in the header or on the provider card.
Disconnecting removes your own connection only. Your teammates' calendars stay connected. After you disconnect:
- Nudge no longer reads your busy times from that provider.
- New meetings booked with you are no longer written in that calendar, and no Google Meet or Teams link can be created for you.
- Events already in your calendar stay where they are.
To also revoke Nudge's access on the provider side, remove it from your Google account's third-party access page or from your Microsoft account's app permissions.
See Permissions and disconnecting for details.
Tips
- Connect before you go live. Without a connected calendar, Nudge cannot see your other meetings and can offer a slot when you are already busy.
- Each closer connects their own account. Ask every person who takes meetings to connect their calendar. If your role cannot open Integrations, signing in to Nudge with Google or Microsoft connects your calendar too.
- Only busy events block a slot. On Outlook, events shown as Busy or Tentative block a slot; events shown as Free, Working elsewhere or Away do not. On Google, events marked as Free do not block a slot.
- Working hours still apply. The calendar only removes busy times. Your working hours and the scheduling rules (duration, buffer, notice, window) decide which slots exist in the first place. See Forms and scheduling.
