Team and roles
Invite your reps, assign roles, switch seats on and off, and decide what each role can see and change.
Settings › Team is where you build your team in Nudge. The page has three blocks: Invite, Members (with Pending invitations above it when there are any) and Roles.
The four roles
Every member has one role. The role decides what they can see and change.
| Role | Access | What it gives |
|---|---|---|
| Admin | Everything · edit | See and change everything, team and billing included |
| Manager | Whole team | The whole team, read-only, without the settings; can approve for an absent closer |
| Closer | Own data | Their meetings, their follow-ups and their prospects; My day as home page |
| Setter | Own leads | Leads and booking, without the sales results |
The Admin role always has full access and cannot be restricted. The permissions of the three other roles can be adjusted (see Edit permissions).
Invite a member
Enter the address and the role
In the Invite block, type the person's Email address, choose a Role, and click Invite.
Check and send
The Invite a member window opens with what you typed and a short description of what the chosen role can see. Click Send the invitation.
The invitee accepts
The person receives an email with a link. They create an account or sign in, then join the workspace with the role you chose.
Who can invite whom:
- An Admin can invite any role, including Admin.
- Other members allowed to manage the team can invite any role except Admin.
What the invitee needs to know
- They must use the address the invitation was sent to. If they are signed in with another account, Nudge says the invitation is not valid for this account: they need to sign out and sign back in with the invited address.
- Their address must be verified. A new account receives a confirmation email first.
- They can sign in with Google or Microsoft if that account uses the invited address.
Pending invitations
Invitations not yet accepted appear under Pending invitations, with the address and the role.
- Resend sends the email again. If the invitation has expired, Resend renews it: a new link, valid for 7 more days.
- Revoke cancels the invitation. The link stops working.
An invitation link is valid for 7 days. Past that date, the invitee sees "Invitation expired" and must ask for a new one.
If the email could not be delivered, the invitation is still recorded. Use Resend to try again.
You can also let colleagues join without an invitation, based on their email domain: see Workspace settings.
Manage members
Each line of the Members block shows the member's name, role, access level, seat status and a menu. Your own line is marked You.
Change a role
Pick a new role in the role list on the member's line. The change applies at once.
What you can change depends on your own role:
- An Admin can change the role of every member except themselves.
- A Manager can only change the role of Closers and Setters, and only to Closer or Setter.
- Nobody can change their own role. Ask another Admin.
Switch a seat off or on
The Active switch on each line turns a member's seat on or off. You can also use Switch seat off in the member's menu.
- Switching a seat off removes the member's access to this workspace immediately. Their record stays: it carries the meetings they held. They stop being offered for new bookings.
- Switching a seat on gives them access again.
There is no separate "delete member" action: switch the seat off instead.
Edit a member's details
Choose Edit details in the member's menu to open the Edit member window:
- First name and Last name.
- Role & Permissions: the Permission level (the role) and an optional Display role (see Custom role labels).
- Scheduling: Buffer (min) between two meetings and Max daily meetings.
- Round-Robin: the member's Weight (0–100) in round-robin assignment, or Auto from close rate, and the Response timeout (min).
- Working hours: the same weekly editor each member has in My profile.
- CRM IDs: the member's user ID in HubSpot, Pipedrive, Zoho or Attio, so records created in your CRM are assigned to the right owner.
How buffers, daily limits and round-robin weights are used to offer slots is explained in Forms and scheduling.
Edit permissions
Click See it page by page → next to the Roles heading to open Permissions by role.
Pick a role
Choose Manager, Member (the Closer role) or Setter. Admin is not listed: it always has every permission.
Tick the permissions
Tick or untick each permission in the list below.
Save
Click Save. Each role is saved separately: save before switching to another role.
Only members with the "Edit role permissions" permission can open the editor. By default, that is the Admin role. A member can never edit the permissions of a role equal to or above their own.
The permissions

|---|---|
| CRM | View CRM sync status · Configure CRM integrations & field mapping |
| Integrations | Connect/disconnect integrations (Calendar, Zoom, etc.) |

These permissions also decide which tabs of Settings each member sees (see Account & workspace).
Custom role labels
At the top of Permissions by role, you can create role labels that match your organization, such as "Account executive" or "SDR". Click Add role, enter a name and an optional description, then Create role. Labels can be renamed and deleted; default labels cannot be deleted.
Assign a label to a member with Display role in Edit details.
A custom label is a display name only. It does not grant or remove any permission. What a member can do always comes from their Permission level (Admin, Manager, Closer or Setter).
