Handoff Agent

Send your closer a brief before every meeting, by email, in Nudge or on Slack, so they know who they are meeting and what that person wants.

What it does

The Handoff Agent prepares your closers for their meetings. When a meeting comes up, it sends the closer a short brief: who they are meeting, what that person is looking for, what holds them back and, when available, their own words.

  1. A meeting is booked, by Nudge, on a closer's calendar.
  2. Nudge writes the brief from the visitor's conversation with the Website Agent, or from their answers to the booking form.
  3. The closer gets it, one hour before by default, by email and in My day.

The brief only goes to your team, never to the prospect. That is why the Handoff Agent starts on the Acts alone autonomy step: it does not need your approval for each brief.

Plan

The Handoff Agent is included in the Beta plan.

Switch it on

Open the agent

Go to Agents, then select Handoff Agent in the list.

Review the settings

Check Which meetings, Who gets it and When and where (see below). The defaults suit most teams.

Enable it

Click Enable the Handoff Agent at the top right. The status turns to Active, and the activity log records who enabled it.

To stop it, click Pause; Resume starts it again with the same settings.

Settings

Click Edit on a line to change it, then Save.

Every meeting on the closers' calendarsIncluding those added by hand.

Who gets it

OptionRecipients
The closer of the meeting (default)Whoever's calendar the meeting sits on. While you are the only member of the workspace, that is you.
The whole sales teamEvery active member of the workspace gets the brief for every meeting.

Invite your team from Account.

When and where

How long before the meeting: 1, 2, 3, 6, 12 or 24 hours. The default is 1 hour. A meeting booked at shorter notice still gets its brief.

Channels, any combination:

  • By email: the brief arrives in the recipient's inbox (on by default).
  • In Nudge, on "My day": the brief is shown on the closer's My day screen (on by default). See Sales.
  • On Slack: the brief is posted to the channel of your Slack connection. The box can only be ticked once Slack is connected: use Connect Slack, which opens the integrations. See Integrations.

If you untick every channel, the line reads No channel chosen.

Reminders to the prospect

The Reminders to the prospect line opens the confirmation, reminder and follow-up messages sent to the prospect before and after each meeting booked by Nudge, form by form. These are workflow sequences, edited in the workflow builder: see Forms and scheduling. Members who can only view see View instead of Edit.

What the brief email contains

The email is written in your workspace's language. Its subject reads "Brief — contact name (company), date and time". It contains:

  • You are meeting …: the contact, the date and time, and the form they booked through.
  • What they are looking for: the needs they expressed.
  • What holds them back: their objections or doubts.
  • In their words: up to two short quotes from the conversation.
  • Join the meeting: a button to the video call, when the meeting has a link.
  • Read the conversation: a link to the full conversation in Nudge.

Because the brief is an internal email, it has no unsubscribe link. Its footer says which workspace's Handoff Agent prepared it and why you receive it.

Good to know

  • A brief is only sent when there is something to say: a conversation summary, or answers to the booking form beyond contact details. A meeting added by hand with no conversation behind it gets no brief, even with Every meeting on the closers' calendars.
  • Each meeting gets one brief. Cancelled meetings and test bookings are skipped.
  • With The closer of the meeting, a meeting that has no closer assigned (or a closer without an email address) gets no email brief.
  • The Handoff Agent only runs while its status is Active.
