Booking pages
What your visitors see when they book, the emails they receive, and how they reschedule or cancel on their own.
The booking page
Every form has a public booking page at https://app.asknudge.ai/<workspace>/<form>. The same form can also be embedded on your site (see Share and embed a form): the visitor's journey is the same.
The page uses your form's colour, template and theme, and speaks the visitor's language when translations are on (English, French, German and Spanish are available for the page itself). Search engines and link previews read the form's name and description.
What the visitor goes through
Classic form
- Answers the questions, screen by screen. Required fields, email and phone formats are checked as they type; a field set to Professional email only refuses free addresses.
- Is qualified or not. If a disqualification rule matches, they see your disqualification message or are redirected, and never reach the calendar.
- Picks a slot. Depending on Calendar display mode, the calendar appears only after the form is submitted (Hidden), is visible but greyed until the form is filled (Locked), or is usable right away (Visible). Slots are shown in the visitor's own time zone, which they can change.
- Optionally picks their closer (if the form has a Closer Picker) and adds guests (if guests are allowed).
- Accepts the consent checkbox if consent is required.
- Confirms. The confirmation screen shows the date, time and time zone, the meeting link, and two buttons: Add to Google Calendar and Download .ics (for Apple Calendar, Outlook and others). If you set Redirect to URL as confirmation mode, the visitor is sent to your page instead.
Conversational form
The assistant opens with your greeting and starter questions, answers the visitor's questions from your knowledge base, asks your questions one at a time, and opens the calendar in the chat once the required answers are known and the score allows it. The visitor picks a slot and confirms in the chat.
Which slots are offered
A slot is offered only when it fits your scheduling rules (duration, notice, buffers, booking window, daily caps) and the closer is free in their connected calendar, within their working hours. Public holidays and time off in the calendar are removed automatically. See Scheduling rules and closers.
If someone else takes the slot first, the visitor is told the slot has just been taken and picks another one. If Prevent duplicate bookings is on, a visitor who already has an upcoming meeting is asked to cancel or reschedule it first.
Emails the visitor receives
| When | Contains | |
|---|---|---|
| Confirmation | Right after booking | Date, time and time zone, the meeting link, the reason for the meeting, Add to Google Calendar, an .ics file attached, and Reschedule / Cancel links. |
| Calendar invite | Right after booking | Sent by the closer's calendar (Google or Outlook). Its description repeats the reschedule and cancel links. |
| Reminder | 24 hours before, and also 48 hours and 2 hours before for meetings at higher risk of no-show | The meeting details and the same links. |
| Cancellation | When the meeting is cancelled | Which meeting was cancelled, and a link to book another time. |
Emails are sent in the visitor's language (English, French, German or Spanish). The Reply-to email in Settings › Forms › Appearance is the address replies go to. Extra reminders can be added in Workflows.
Reschedule or cancel
Every confirmation, reminder and calendar invite carries two personal links. They work without an account, and each link only works for its own meeting.
Reschedule
The visitor sees Reschedule your call, their Current time, and a calendar to Pick a new time. Once they confirm, the old slot is released, the calendar events are updated and a new confirmation email is sent. With Reschedule with same host on, the new slot is with the same closer.
Cancel
The visitor sees Cancel your booking, can give an optional Reason for cancellation, then clicks Cancel booking. The calendar events are removed, pending reminders are dropped, the closer is told (and Slack, if connected), and the visitor receives a confirmation email. Reschedule instead takes them to the reschedule page.
If a link is opened for a meeting that is already cancelled, the page says so. A link that is incomplete or no longer valid shows "This link is invalid or has expired."
Your team can also reschedule, reassign or cancel a meeting from Bookings. See Sales.
Tracking
The booking page saves the campaign parameters of the link (utm_source, utm_medium, utm_campaign, utm_content, utm_term), the page the visitor came from and the referrer with the lead. Analytics use them to show which sources bring leads, meetings and sales. If you connected marketing pixels, the page sends them its funnel events (page view, qualified, meeting booked…). See Integrations.
When a form is unavailable
- An inactive form, or an unknown address, shows a "not found" page.
- If your workspace's service is suspended, the page shows a short notice instead of the form.
