Scheduling rules and closers

Set meeting length, notice, buffers and booking window, choose how meetings are shared between closers, and set each closer's working hours.

Who are the closers

Closers are the members of your team who take the meetings Nudge books. Every active team member whose role can take calls is a closer: they appear in Bookings › Availability and receive meetings. You invite and manage them in Team & roles.

For Nudge to offer a closer's slots, connect their calendar (Google Calendar or Outlook) in Integrations. Only the slots that are free in each closer's calendar are offered, and meetings are created in that calendar.

Rules for the Website Agent

Open Bookings, then the Availability tab. Under How the Website Agent books, five rules apply to every closer:

RuleChoicesWhat it does
Meeting length15, 30, 45 or 60 minThe duration of every meeting.
Notice before the first slotNone, 1 h, 2 h, 4 h, 24 hAvoids a meeting right after the request.
Gap between two meetings0, 5, 10, 15 or 30 minTime to prepare the next one.
Bookable up to7, 14, 30, 60 or 90 daysBeyond that, the prospect is followed up later.
Video linkGoogle Meet, Zoom, Microsoft Teams, Custom linkAdded to the invite and to the brief.

Defaults: 30 minutes, 1 hour of notice, 15 minutes between meetings, 14 days ahead, Google Meet.

These rules are saved on the Website Agent's conversational form and on its booking form at the same time, so the chat and the booking form always offer the same slots. If your workspace has no conversational form yet, the screen tells you the rules apply to nothing for now.

The same five settings exist for every form in Settings › Forms › Scheduling, alongside more options (slot increment, daily and total caps, duplicate prevention, guests, the calendar events are created in). See Form settings.

Share meetings between closers

Under Who gets the meetings, choose the Assignment mode for the whole team:

  • Round robin — closers get meetings in turn, with equal weight.
  • By results — each closer's share follows their closing rate over the last 30 days: closers who close more get more meetings.

When several closers are free at the same time, the slot is offered once and the assignment mode decides who gets it. If only one closer is free, that closer gets the meeting.

Changing the assignment mode requires the team management permission, because it is stored on each team member.

Set working hours

Each closer in the list shows their connected calendar (or No calendar connected). Click Edit next to a closer to open their Hours:

  • For each day, set From and To, or mark the day Unavailable.
  • With no hours saved, Nudge applies Monday to Friday, 9:00 to 18:00, and says so.
  • Public holidays and time off booked in the calendar are removed automatically.

Closers can also set their own hours in My Account › My hours: "the hours during which visitors can book a call with you". A day marked off offers no slot. See Profile.

Route leads to a closer

By default, meetings follow the assignment mode. To send some leads to a specific person, add routing rules to a form: Settings › Forms › Per form, select the form, then Assignment.

  1. Click Add routing rule.
  2. Choose a Field of the form and the Value that triggers the rule, for example Country = Germany.
  3. Under Assign to, choose the closer.

Rules are checked in order and the first one that matches wins (the comparison ignores upper and lower case). The visitor is then offered only that closer's slots. Fallback: Round-robin: if no rule matches, leads are distributed among the available closers.

On a classic form you can also let visitors choose: add a Closer Picker block (and optionally a Closer Info block to show who was assigned). See Forms.

Meetings with several people

Collective Booking books only slots where every selected participant is free, for example a sales rep and a technical expert. Turn it on in Settings › Forms › Assignment: Enable collective mode, then Select required participants.

Visitors can also add their own guests if Allow guests is on (Settings › Forms › Scheduling), up to Max guests per booking.

Caps and duplicates

In Settings › Forms › Scheduling:

  • Max daily bookings per closer stops offering a closer's slots once they have that many meetings in a day.
  • Max total bookings (form-wide) closes a form after a number of bookings, for example for a limited offer.
  • Prevent duplicate bookings blocks the same email from booking twice.
  • Reschedule with same host keeps the same closer when a visitor reschedules.

Do it from an AI assistant

The same rules are available to an AI assistant connected through MCP: read the rules, change them, switch the assignment mode, and update a closer's working hours. See API & MCP.
