Meetings
Follow upcoming and past meetings, read the brief, reschedule, cancel, reassign, mark no-shows, record outcomes and understand the no-show risk.
The Meetings screen
Open Bookings in the menu (My bookings for closers and setters). The screen is titled Meetings and has three tabs:
- Upcoming — meetings still to come.
- Past — meetings that have ended, where you record the outcome.
- Availability — how the Website Agent books, who receives the meetings and each closer's hours. These settings are described in Forms and scheduling.
Closers and setters only see their own meetings. Admins and managers see the whole team and can narrow it down with the All closers filter.
List and week views
- List groups meetings by day (Today, Tomorrow, then dates). Each card shows the time, the prospect and company, the host, Booked by the Website Agent when the meeting came from a conversation, Brief ready when the Handoff Agent brief is available, and a Join button for the video call.
- Week shows five days on a grid. Use the arrows to move to the previous or next week; the title bar shows the week (Week of 14–18 September).
The meeting panel
Click a meeting to open its panel on the right (on a phone, the meeting opens on its own page). Until you click, the panel shows the next meeting.
The panel shows:
- Join the call (upcoming meetings with a video link) and Open contact;
- Prospect, Closer and Source (for example Booked by the Website Agent on 11 Sep or the form it came from);
- the Handoff Agent brief before the meeting — Need, Likely offer, Watch out for — or, after it, After the meeting with what happened and what Nudge prepared;
- See the follow-up on a past no-show from a conversation, which opens the follow-up the Nurturing Agent prepared;
- the actions Reschedule, Mark no-show and Cancel, when they apply.
Reschedule a meeting
Available on meetings that are still scheduled.
Click Reschedule
The window shows up to three free slots of the closer, read from their calendar and within the form's bookable window.
Pick a slot, or let the prospect choose
- Select a free slot and click Reschedule: the meeting moves to that time (a new meeting is created and linked to the original one).
- Or select Let [name] pick another time and click Send: the prospect receives an email to choose from the closer's availability. This option needs the prospect's email address.
The prospect is notified
Notify [name] by email is always on: the prospect is told about the change.
If availability cannot be read, the window says so and you can still send the invitation to pick another time.
Cancel a meeting
Available on upcoming meetings, for members allowed to cancel.
- Click Cancel.
- Enter a Reason — required. It is sent to the prospect and the closer.
- Click Cancel the meeting (or Keep the meeting to back out).
The event is removed from the calendar, reminders stop and the prospect receives an email with your reason. If the calendar event could not be removed, Nudge tells you: delete it by hand.
Reassign a meeting
Open the meeting's own page (see The meeting page) and click Reassign host.
- Choose the New host.
- Optionally enter a Reason (sick leave, workload…).
- Confirm.
The new host is notified. The calendar event is not moved: it stays in the previous host's calendar, so forward the invitation to the new host. Reassigning requires the corresponding permission; closers can also claim unassigned meetings from My day.
Mark a no-show
On a meeting that is still scheduled, click Mark no-show and confirm.
- If the meeting came from a conversation, it moves to Past and the Nurturing Agent prepares a follow-up, to approve in To validate before it goes out.
- If it did not (for example a meeting booked through a classic form), it moves to Past with no follow-up, since the follow-up is written from the conversation.
You can also record a no-show as the outcome of a past meeting (below).
Record the outcome
In the Past tab, select a meeting: the panel asks How did the meeting go? — One click is enough, Nudge takes it from there.
| Outcome | What happens |
|---|---|
| Sale | Enter the Signed amount (excluding tax). It joins the closer's signed revenue on the Dashboard. No follow-up is prepared. |
| No sale | The meeting is filed as no sale. No follow-up is prepared. |
| No-show | The Nurturing Agent prepares a follow-up to approve, when the meeting came from a conversation. |
Add Notes if you want (optional), then click Save the outcome.
Closers can also record outcomes in one click from My day. On the meeting's own page, Record outcome offers Sale, No sale and Reschedule, with an amount and notes, and marks the call as completed.
The meeting page
Each meeting has its own page (/bookings/[id] in your workspace), useful to share a link with a colleague. You reach it from Reassign the closer on the contact record, Open the meeting in My day, Follow up on the dashboard, the workspace search, or by tapping a meeting on a phone. It shows:
- badges for the no-show risk (low, medium or high, on scheduled meetings), the deposit status when a deposit applies, and the number of guests;
- the actions Record outcome, Reassign host, Mark no-show, Reschedule and Cancel, depending on the meeting's status and your permissions;
- date and time, host, form, the contact's email and phone, the meeting link (Join Meeting), the cancellation reason, and the outcome with its amount and notes;
- What they answered: the answers given in the form or the conversation;
- Where they came from: UTM source, campaign and medium, referrer and landing page;
- a link to the Conversation, and the contact card with View contact;
- CRM sync status (Synced, Pending, Failed) and the last attempt, for members who can see the CRM settings.
No-show risk
Nudge gives every scheduled meeting a no-show risk — Low, Medium or High — recomputed regularly until the meeting. It starts from a neutral middle value and moves with what is known about the meeting:
| Raises the risk | Lowers the risk |
|---|---|
| Booked a week or more ahead (more so at two weeks) | Booked for the next day or sooner |
| The contact missed a previous meeting | The contact attended previous meetings |
| A low lead score | A high lead score (70 or more) |
| The meeting was already rescheduled | A deposit was paid |
| No phone number on file | The prospect invited guests |
The risk decides how many email reminders the prospect receives:
| Risk | Reminders before the meeting |
|---|---|
| Low | 24 hours |
| Medium | 24 hours and 2 hours |
| High | 48 hours, 24 hours and 2 hours |
The risk is an estimate to help you prioritise: for a high-risk meeting, a quick call the day before is often worth it.
