Nurturing Agent
Follow up leads who drop off, after a missed meeting, a conversation that went quiet or an unfinished booking form, with a call from My day or an email.
What it does
The Nurturing Agent follows up leads who drop off. When Nudge has their phone number, it puts a call in a closer's My day. Without a number, or once the calls go unanswered, it prepares an email.
- A lead goes quiet: they miss their meeting, leave the booking form, or stop writing in the conversation.
- Nudge prepares the follow-up: a call in the closer's queue if it has their number, otherwise an email based on what they already discussed with you.
- You call, from My day. After unanswered calls, the email takes over.
Plan
The Nurturing Agent is not included in the Beta plan. Its page is visible, with Not included in the Beta plan in place of the enable button, but it can't be switched on. Nudge can unlock it for a workspace: write to support@asknudge.ai.
Switch it on
Open the agent
Go to Agents, then select Nurturing Agent in the list.
Prepare the emails
Open the Abandoned form line and write the follow-up sequence of each form. The agent sends the steps of this sequence: without one, it has no email to send. See Workflows.
Review the settings
Check Who to follow up, How and Emails (see below).
Enable it
Click Enable the Nurturing Agent at the top right. The status turns to Active. The first time, How is set to A call if we have their number, otherwise an email.
Pause stops it; Resume starts it again with the same settings.
Autonomy and approval
The Nurturing Agent has the three autonomy steps described in Autonomy levels. It starts on Asks your approval: every follow-up email waits in To validate, in the Follow-ups tab, until someone approves it. On Acts and tells you or Acts alone, emails go out at their scheduled time.
Calls never go out on their own: a closer makes them from My day.
Settings
Click Edit on a line to change it, then Save.
Who to follow up
| Reason | Who it covers |
|---|---|
| Missed meeting (on by default) | A lead whose meeting, in the last 30 days, was marked as a no-show, when the meeting was booked through a conversation. Meetings added by hand in the calendar are not followed up. |
| No reply for … days (3 by default) | A visitor who gave their details in the conversation, did not book, then stopped writing. Untick it to stop following up quiet conversations. |
| Booking form left unfinished (on by default) | A visitor who entered their phone number on your booking form, then left before picking a slot. |
Quote sent, no reply for … days is shown but unavailable: Nudge does not track sent quotes.
Until you save this line with a number of days, a quiet conversation is followed up shortly after its last message, not after 3 days.
Follow-ups stop as soon as the lead books a meeting. Test conversations and test bookings are never followed up.
How
| Option | What happens |
|---|---|
| A call if we have their number, otherwise an email | The lead appears as a call in My day. With no number, the email goes out instead. |
| Email only | For a team that doesn't call: every lead gets the email. |
With calls, choose Up to 1 to 5 calls, spread over 1 to 5 days, between a first and a last calling hour (by default 3 calls over 2 days, from 9:00 to 18:00). After the last unanswered call, the email takes over if Nudge has the lead's address. How closers record each call is described in My day.
Who calls: the lead's closer, that is, the host of their last meeting. Otherwise, the next closer in turn. View opens the availability settings, where the rotation is set.
Emails
- How many: 1 to 5 follow-ups at most. The agent never sends more steps than the form's sequence has.
- Spacing: 1 to 14 days between two follow-ups.
- Never at weekends or after: emails then go out on weekdays only, from 9:00 to the cut-off hour you choose, in your workspace's time zone.
Until you save this line, emails follow the delays written in the form's sequence.
Abandoned form
Opens the follow-up sequences of each form, in the workflow builder. See Workflows. Members who can only view see View instead of Edit.
Good to know
- Emails go out through Nudge. Sending from your Gmail or Outlook mailbox is not available. Every email gets an unsubscribe link, and a person who unsubscribes is never written to again.
- Before the agent is switched on, the email follow-ups of your forms' Abandoned form sequences and of missed meetings are still prepared. They wait in To validate until someone approves them. Once the agent has been switched on, Pause stops them.
- One lead, one call line. A lead who both left a form and went quiet in a conversation gets a single line in My day.
- Limits per address. A lead who started several conversations gets one follow-up, for the most recent. No new follow-up starts for an address that already had an email prepared in the last day, or four in the last 30 days.
Who can do what
Reading the agent requires a role that can view workflows. Switching it on, changing its settings or its autonomy requires a role that can manage workflows. See Account.
