Outreach Agent

Write to visitors who left their address in a conversation and come back to your site without writing, and, optionally, to a list of accounts you import.

What it does

The Outreach Agent writes a first email to people who showed interest but did not book.

  1. It spots who comes back: a visitor who left their email address in a conversation, did not book, and comes back to your site without writing.
  2. It writes from your conversation: a message that picks up their question, with a link back to your booking page.
  3. You approve the message in To validate, then the visitor can book from the link.

Optionally, it also writes to companies that have never visited your site, from a list you import.

Plan

The Outreach Agent is not included in the Beta plan. Its page is visible, with Not included in the Beta plan in place of the enable button, but it can't be switched on. Nudge can unlock it for a workspace: write to support@asknudge.ai.

Switch it on

Install the widget

The agent learns that a visitor came back from the widget on your site. Without it, nobody is spotted. See Installation.

Open the agent

Go to Agents, then select Outreach Agent in the list.

Review the settings

Check Pages that trigger a message and Pace (see below). Importing a list is optional.

Enable it

Click Enable the Outreach Agent at the top right. The status turns to Active.

Pause stops it; Resume starts it again with the same settings.

Autonomy and approval

The Outreach Agent has the three autonomy steps described in Autonomy levels. It starts on Asks your approval: every first message waits in To validate, in the First touches tab, until someone approves it. On Acts and tells you or Acts alone, messages go out without waiting.

Who it writes to

A visitor gets a message when all of these are true:

  • they gave their email address in a conversation and did not book;
  • they came back to your site in the last 24 hours, at least 12 hours after their last message;
  • in those 24 hours, they viewed one of the pages that trigger a message, or at least two pages of your site;
  • they have not received a first message for this conversation in the last 14 days;
  • they have not unsubscribed from your emails.

Test conversations are never used.

Settings

Click Edit on a line to change it, then Save.

Pages that trigger a message

Pages whose address contains pricing, plan, subscription, quote or demo, or tarif, prix, abonnement, devis, preise or precio, count automatically. Add your own pages, for example /offers: a page also counts for every address that starts with it.

The list is saved on the form of your widget. Install the widget first: until then, the line asks you to.

Visit tracking

Shows when the widget starts recording page visits: As soon as they arrive on the site, or After cookie consent when the widget waits for consent. See opens the widget settings where this is set. A visit records a path and a time per page, no IP address and no title, and is erased after 90 days. See Security and privacy.

Pace

The maximum number of first messages a day, from 5 to 50 (30 by default). Above 10, the agent starts at 10 a day and ramps up to your maximum over the two weeks after it was first switched on. Above 30, your emails risk landing in spam.

The daily maximum covers both returning visitors and your imported list.

Write to a list of accounts

Under Also: your account lists, import the companies you want to reach even if they never visited your site. This is optional.

  • Choose a file: a CSV with one line per account. Nudge reads the email (required), the company name and the website. Common column names are recognized, for example Email, Company or Website.
  • From HubSpot: pick one of your HubSpot contact lists. HubSpot must be connected in Integrations.

Up to 5,000 accounts per import. Lines without a valid email are set aside, and the line shows how many. Replace drops a new list in place of the current one; an account already contacted is not contacted twice.

Each account gets one first email, written from your shared memory and your knowledge base, with the company name and website. If Nudge has nothing to say yet, the account stays on the list for later. Accounts are only written to while the agent is Active, within the daily maximum.

Good to know

  • Emails go out through Nudge. Sending from your Gmail or Outlook mailbox is not available. Every email gets an unsubscribe link, and a person who unsubscribes is never written to again.
  • Before the agent is switched on, messages to returning visitors are still prepared. They wait in To validate until someone approves them. Once the agent has been switched on, Pause stops them. The imported list is only used while the agent is active.

Who can do what

Reading the agent requires a role that can view workflows. Switching it on, importing a list or changing its settings or its autonomy requires a role that can manage workflows. See Account.
