Contacts
Find every lead, read where they stand, open their record, add notes, hand them to an agent, merge duplicates and handle data requests.
The contact list
Contacts (or My contacts for closers and setters) lists every person your agents and forms have captured, plus the ones you added by hand. The title bar shows the total, for example 58 contacts. Archived contacts (for example merged duplicates) are not listed.
Each row shows:
| Column | What it means |
|---|---|
| Contact | Name and company. |
| Score | The lead score out of 100. See Lead scoring. |
| Main signal | What stands out from their conversation: the need they expressed first, otherwise their objection, otherwise a topic they raised. Empty for a contact who never talked to an agent. |
| Next step | The most urgent thing to do with them (see below). |
| Closer | The host of their next meeting, or of their last one. |
The list shows 25 contacts per page. Click a row to open the contact record.
Next step
The Next step column is computed for each contact, in this order:
- Deal signed — a meeting was recorded as a sale.
- Meeting today 14:00, Meeting tomorrow 10:30 or Meeting [day] [time] — an upcoming meeting.
- Follow-up to approve — the Nurturing Agent prepared a message waiting in To validate.
- Hand over to an agent — the contact never had a conversation.
- To contact — everything else.
Search and filters
- Search a contact… searches first name, last name, email and company name.
- All closers keeps the contacts who have a meeting with the chosen closer.
- All stages filters on the stage (see below).
The Import from HubSpot button opens Integrations, where you connect your CRM. See Integrations.
Stages
Every contact sits at one of four stages, computed from their meetings — you never set it by hand:
| Stage | Rule |
|---|---|
| Qualified lead | No upcoming meeting, and no meeting that took place, was missed or was cancelled. |
| Meeting booked | A meeting is scheduled in the future. |
| Meeting done | Their meeting took place, was missed or was cancelled. |
| Sale | One of their meetings was recorded as a sale. |
Stages move by themselves as your agents and closers work. The same stages are the columns of the pipeline board (see Pipelines).
Add a contact
From the Dashboard, click New › Add a contact. Enter a first name, a last name, and an email or a phone number (one of the two is required), then Create the contact. Use it for a lead you met elsewhere, without waiting for a conversation.
The contact record
The record opens with the contact's name, a red badge if they missed or cancelled their last meeting (No-show at the 12 Oct meeting), and their position in the list (3 of 58) with arrows to move to the previous or next contact.
Main actions
-
Reschedule the meeting: when the contact has a meeting, opens the public rescheduling page of that meeting in a new tab.
-
Hand over to an agent: when they have no meeting. A window offers:
- Nurturing Agent — Follow up by email from their history;
- Outreach Agent — Reach the account with a targeted message.
An option is greyed out with the reason when it cannot apply: No conversation to follow up, No email address, Already in the agent's queue. See Agents.
-
The … menu repeats Hand over to an agent, offers Reassign the closer (opens the meeting, where the host is changed) and Dismiss this lead. A dismissed lead moves to the Dismissed tab of Lead scoring, from which it can be restored.
What you see on the record
- Follow-up prepared by the Nurturing Agent: when a message waits for approval, it is shown with its subject. Click Approve and send to send it, or Edit to change it first.
- Journey: the timeline of what happened — form filled in, meeting booked, rescheduled, cancelled, marked as a no-show, reassigned, outcome recorded, note added, email sent — with who did it and when. A contact who never talked to Nudge shows No exchange with Nudge yet and suggests handing them to an agent.
- What Nudge knows: the facts Nudge extracted from the conversations — Role, Account (company and domain), Need, Likely offer, Watch out for — with the date of the last update.
- Notes: internal notes, visible to your team only. Type a note and click Add note (or press Ctrl/Cmd + Enter). Each note shows its author and date; the bin icon deletes it, if your permissions allow.
- Ask Nudge about [name]: a side panel to ask questions about this contact, answered from what Nudge knows: their need, their exchanges, their meetings. Suggested questions include Where does [name] stand?, What should the follow-up say? and Summarise their exchanges in three lines.
Companies
Nudge links each contact to their company (the Account fact on the record and the company name in the list), but there is no separate company list: the former Accounts screen was removed, and its address now opens Contacts.
Duplicates and merging
Contacts that share the same email address are duplicates. Members allowed to manage contacts can merge them on the deduplication screen, at /contacts/merge in your workspace (for example https://app.asknudge.ai/w/your-workspace/contacts/merge).
Review the groups
The screen lists each group of contacts sharing an email (3 duplicate group(s) found). If there are none, it says No duplicates found.
Pick the contact to keep
In each group, click Keep on the contact that should survive. It is marked Primary.
Merge
Click Merge for one group, or Merge All. Meetings, notes and activity of the other contacts move onto the primary one, and the others are archived (not erased).
A merge runs as a single operation: if anything fails, nothing is changed (Merge failed. Nothing was changed.).
Exporting contacts
There is no CSV import or export button on the Contacts screen. To extract your contact list, use the contacts__export_contacts tool of the Nudge MCP server: it returns up to 5,000 contacts (most recent first) with their short ID, name, email, phone, status, score, tags, UTM source, medium and campaign, source form and creation date. It requires the contact export permission.
For a single person's data, use the GDPR export below.
Data requests (GDPR)
Access and erasure requests for one person are handled in Settings › Privacy, under GDPR Requests, not on the contact record:
- enter the Data subject's email address to find their contacts (archived ones included);
- Export downloads everything held about that contact;
- Delete permanently erases the record, its meetings, consents, conversations and queued messages. It is written to the audit log and cannot be undone.
See Account for privacy settings and data retention.
